| Our client, a government department, currently has an exciting opportunity for a Facilities Administrator to join their Executive team. The person will be responsible for managing overall facilities requirements.
Based in Westminster your duties will include: • Receiving and directing general telephone enquiries to relevant departments. • Managing the stationery ordering process, keeping in regular contact with suppliers, negotiating prices and achieving the best value for money. • Acting as the central point for receiving post for the Executive Team, logging them on the database, sending acknowledgements and distributing to the relevant parties. • Managing the service of the coffee and snack machines, ensuring that both are kept fully stocked and repairs reported prompted and dealt with swiftly. • Working with the Head of Communications to ensure that staff, members and stakeholders databases are kept up to date and functionality is developed. • Working with the Head of Communications to edit and develop the content of the corporate website and extranet. • Writing the bi-weekly global e-mail for staff. • Providing IT support for presentations. • Distributing documents and large mailings. • Managing the library resources both on the website and within the office ensuring they remain up to date and valid. Keeping records of borrowed resources. The successful candidate will have excellent interpersonal and communication skills, advanced prioritisation and organisational skills. The candidate must be able to prioritise workloads, have excellent telephone and written skills, be able to work to tight deadlines and pay attention to detail. An excellent working knowledge of Microsoft Word, Excel, Outlook and Powerpoint is required. Previous experience in administration and minute- taking is essential. This is a temp to perm role.
