| Payroll Assistant Job Description
Reporting to: Payroll Manager Purposes:To support the development, implementation and ongoing maintenance of a payroll strategy which aims to: - Deliver an effective and efficient payroll service to head and regional offices - Ensure new staff receive all the relevant information and support which facilitates their understanding of the policies, procedures and practices. To work as a member of the payroll team maintaining an awareness of all the department’s activities and providing support as required. To support the maintenance and continuous development of the HR database system (Compel) in order to provide accurate and timely reports on activities and to provide a help line to the NAS Compel users. Operational Assist the Payroll Manager with the monthly payroll process. Collate payroll information from all units and prepare for input to Centre-file system via manual and integrated Compel system. Update the system with all new starters and leavers, and liaise with the HR Department as necessary to obtain current information. Update pensions with joiners and leavers, and complete necessary forms for the HR Department with regard to pension leavers. Update absence and sick records with information received from units and regional offices. Collate and analyse staff expenses prior to input. Deal with queries relating to payroll, from staff members, finance officers, Inland Revenue, Contributions Agency, CSA and Benefits Agency. Deal with P45 and P46 forms for all starters, and ensure Inland Revenue receive their copies promptly. Issue P45's to all leavers. Ensure that cheque requests (with coding slips) are completed for all cheque payments, and passed to the Purchase Ledger department. Collate all information for payments to Inland Revenue, Pensions agencies, Courts and Government bodies each month. Ensure that all above payments are made on time. Assist with year-end returns to the Inland Revenue and Contributions Agencies. Update Sun accounts as necessary with payroll information, and produce reports as requested by finance officers and Director - Finance. Be conversant with current legislation on pay related matters. Support the Pensions Administrator with a view to becoming au fait with all policies and procedures required within pensions administration. Payroll Department To promote culture where all individuals are treated fairly and with respect and where they are valued for the contribution they make to the success of the Society. To contribute to the development and ongoing maintenance of a professional and competent Payroll team and the vision and aims of the department. To ensure that personal data which enters, is stored, or leaves the department, is handled with due regard to confidentiality of information and in strict accordance with data protection legislation. To contribute to the achievement of individual and department goals which facilitate the ongoing development and success of the department. To liase with all members of the Payroll team on a daily basis in order to maintain an awareness of work in progress and to provide support, as necessary, to meet abnormally high demands. To continually update professional skills and expertise in line with national good practice and to optimise these skills and expertise through work within the department. Confidentiality Maintain confidentiality for all areas of staff and its work. The nature of the work within the Service entrusts people with confidential information about people with autism, their families/carers and staff. Any breach of confidentiality will constitute gross misconduct. General Co-operate with all staff in maintaining good relationships with outside agencies and the general public in order to uphold the Society's image and win increased support for its work. |
