We are looking for a candidate who is / or has worked for a large corporate company and has supervisory and project management experience..... This role involves managing and providing operational support to various divisions within a large Group, including monitoring workloads and quality of service. The job involves a high level of initiative and a proactive approach in order to identify administrative needs within the departments and to respond to these needs appropriately. You must be able to plan and organise your own workload in order to meet deadlines for both regular and one-off administrative tasks. Whilst several duties can be delegated among the support group, you will be responsible for ensuring the tasks are effectively carried out. Close liaison is required with the Group Co-ordinator, The Responsibilities Please find below a list of the key responsibilities for this role: Support Staff Management Conduct support staff appraisals and set appropriate objectives Monitor workloads, arranging temporary cover as needed Create job descriptions, conduct first stage interviews for support staff vacancies IT Manage the allocation of hardware and software within both departments, maintaining an inventory of equipment located within the department Finance Administration Responsibility to ensure the implementation of the finance administration through management of Client Administrator, Finance Team and Department Secretaries, including liaison with the Client Service staff: Billing and debt collection are managed appropriately - either through other support staff or by client service teams Generation of client reports, including monthly WIP turnaround documents, for all engagement managers and group finance partner Client Administration Responsible for ensuring support to Client Service Staff on client account planning, targeting and marketing initiatives: Overseeing the process of putting client account plans and targets in place for all key clients Ensuring there is an effective process in place for inputting into and updating Pivotal Ensuring Client Service teams have necessary support for billing scheduling and regular internal reporting Accommodation/Premises Management Co-ordination of office accommodation moves Effective implementation of HandS initiatives and procedures Training and Induction Manage the administration and scheduling of all training courses for all members of the department, including booking and cancelling. Ensure training cancellations do not incur charges - finding replacements and challenging staff reasons for cancelling. Co-ordinate departmental induction process and ensure all staff are allocated an appropriate mentor and counselling partner. HR Administration Co-ordination of all administration relating to staff appraisals Act as the main point of contact for HR department The Person You will need the following qualifications, skills and experience: BTEC in business administration/finance (or similar experience) 1½ or 2 years' experience in a support managerial role to include direct supervisory experience Proven project management skills Change management experience Possess a good understanding of IT The key personal skills for this role are as follows: Task Management Energy Resilience Client Service |
