Secretarial - PA Secretary

in London City

Large international City Group have an urgent requirement for a skilled an experienced PA secretary.

Our client requires;
Solid secretarial work history
Fast accurate typing
Strong MSOffice Skills
An opportunity has arisen for an experienced secretary to work within the department. They will be working for a busy Partner and 2 Directors. The successful candidate will need to be confident, assertive, have the ability to prioritise their own workload and be flexible regarding working hours. Must be mature and used to dealing with clients at the highest levels, confident of prioritising their workload and associated tasks. Must present a professional image at all times.
Below is a list of the key responsibilities for this role with an approximate percentage of the amount of time spent that would be spent on each:

Maintain full control of each Partner and Director's diaries.
Organise internal and external meetings / conferences / functions including travel, accommodation, itineraries, equipment and catering.
Produce and proof read high quality reports, correspondence, minutes, file notes and faxes, from macros and non-standard documents to tight deadlines.
Produce PowerPoint graphics, copy/audio typing and Excel spreadsheets.
Receive and deal with where appropriate both internal and external post, faxes and emails for Partners.
Attend meetings and take meeting notes.
Undertake company background searches on the internet where required.
Ensure client files are kept up to date by giving copies / originals of all relevant documentation to the departmental filing co-ordinator to file.
Handle internal and external calls from senior staff and clients.
Input timesheets and expenses for Partner and Directors.
Other ad-hoc duties as required by department.


The Individual
Ability to work under pressure, ensuring that important deadlines are met
Ideally have a minimum of 2 years' experience as a secretary supporting 1 or 2 senior staff
Accurate audio/copy typing at 55 wpm
Intermediate/advanced level in MicroSoft Word and PowerPoint
Intermediate level in MicroSoft Excel
5 GCSEs or equivalent at grades A-C including English and Maths, is desirable
Good communication skills
