Secretarial - PA Secretary

in London City

A top City Corporate requires an experienced secretary. Working in a newly formed team you will be supporting 1 Partner/2 Directors and the fast expanding Financial Management team. The job will involve a high degree of organisational, communication and administraive skills, including excel, PowerPoint and It skills. You will be required to plan and organise your workload to meet tight deadlines and fulfil the demanding and diverse aspects of the job,

The Responsibilities
&# *****; Arrange both internal and client meetings. Book meeting rooms, catering and equipment if required. Arrange lunches and dinners. Arrange conference calls. 20%
&# *****; Book tickets and accommodation and arrange itineraries for travel. 10%
&# *****; Screen all telephone calls, making sure detailed messages are taken and any queries are dealt with or forwarded to the correct person. 15%
&# *****; Manage Partner diaries, emails and contacts. Keeping diaries up-to-date with meetings, keeping track of whereabouts, regularly checking inbox and updating contacts with new business cards. Sending our correspondence such as emails and letters on Partner's behalf. 10%
&# *****; Sort, distribute and prioritise internal and external post and faxes, dealing with them as appropriate. Organise couriers for the UK and Europe. 5%
&# *****; Ensure timesheets and expenses are processed within the given time frames. 5%
&# *****; Carryout audio and copy typing including minutes, letters and other general correspondence 10%
&# *****; Assist in preparing Powerpoint presentations / proposals which includes the organising, printing and binding of the documents and liasing with Document Production. Also printing of letters, faxes and compliments slips. 10%
&# *****; Building good relationships with Partner's key clients and their secretaries 5%
&# *****; Maintain a 'To Do' list, prioritising work and making sure deadlines are met. 5%
&# *****; Adhoc Duties:Provide holiday cover / assist with other Secretaries workloads.
&# *****; Ensuring CRM is kept up-to-date with the correct information
&# *****; Business Management - Resource Management Producing management information on the performance of the management team. 5%
