JOB PURPOSE Effectively manage all administrative tasks, dealing promptly with mail, telephone calls, diary management and filing, ensure deadlines are met. Co-ordinate all travel arrangements and itineraries for Directors and Buying Team, organise the most cost effective and time efficient method of travel. Support the Sales Director with all personal arrangements co-ordinating activities and managing priorities alongside daily workload. Support Director, contributing to the Department Strategy by striving to achieve operational objectives and personal goals. JOB ACTIVITIES/DELIVERABLES Organise all mail on a daily basis, prioritise all incoming correspondence, typing appropriate responses to ensure a professional and timely reply. Manage all General Administration - filing, typing, dealing with all telephone calls, photocopying and faxing, maintain up-to-date information, review all files on a six monthly basis ensuring efficiency. Co-ordinate all Diary appointments, organise appropriate meetings ensuring relevant paperwork is available, liase with the relevant Personnel, ensure all diaries are updated. Collate and process all Expenses - Travel, Company Car, Corporate Entertainment and Business Credit Card, check all Controller expenses for accuracy prior to Director authorisation. Co-ordinate all travel arrangements, booking all National and International trips and hotels for Managers/Controllers/Directors and Buying Team. Organise itineraries as required. Maintain all Seasonal Bibles for Director, enter daily delivery amounts, update price lists and enter additional pages to aid the Buying process. Carry out regular comparative shopping exercises, gather samples and research the Competition, produce a report to highlight findings as appropriate. Support the Sales Director with the efficient management of her time through carrying out personal administrative tasks, demonstrative a proactive approach ensuring deadlines are met. Develop a direct and positive working relationship with the Team and maintain sound communication with other Team members. Support the Line Manager in the delivery of the Departmental Strategy through the achievement of operational objectives and personal goals. Continuously question own working practices striving to eliminate non value added activity. To ensure personal behaviour promotes cultural change and reflects the values of the Business. |
