| One of our large corporate clients requires a high calibre secretary to work in their Indirect Tax department. As well as being a market leader, our client has an excellent reputation for investing in employees and helping them reach their full potential.
The role involves working for two partners and would suit someone who is happy to deal with a high volume of work. The Responsibilities *****; Co-ordination and management of complex diary arrangements. Organising meetings and agendas. Preparing papers for meetings. Meeting and greeting of clients. Organisation of conference calls.25% *****; Arranging travel.10% *****; Telephone liaison, both internal and external (calls should be answered promptly in a friendly yet professional manner, taking detailed messages where appropriate and ensuring messages are dealt with effectively). Must also screen calls and handle queries independently where appropriate.20% *****; Provide an accurate and prompt audio and copy typing service, ensuring that documents are typed up accurately and to deadlines. This service will include preparation of PowerPoint slides, organisation of printing and binding of documents. Produce high quality reports, correspondence, minutes, file notes and faxes, using macros and non-standard documents, including Excel spreadsheets. 17% *****; Preparation of client fee's and other finance administration for Partner's. .5% *****; Action e-mails in the absence of Partner and check in-box regularly to be aware of demands on time and to maintain Partner 'To Do List' if necessary.5% *****; Preparation of expense claims and payment of corporate amex.5% *****; Organisation of conferences, seminars and events, in line with central teams and firm policy as and when required.1% *****; Handle/sort and deal with post. 1% *****; Maintain Partners filing systems 1% *****; Quality control of Partner client files. 1% *****; Assisting with Departmental Administration as required. 2% *****; Updating of client contact details on CRM (contact relationship management database) and outlook. *****; Assist with the updating of the departmental sales pipeline system - database. *****; Minute taking as required. *****; Input weekly timesheets using the database system.5% *****; Act as reserve secretary to other client staff as and when required. 2% *****; Handle various other administration tasks and Ad hoc Project Administration as required by the Partners / department. 2% *****; Build a comprehensive knowledge of the industry group's business and develop an understanding of company's processes and procedures. .5% *****; Act as role model and mentor for other secretarial and support staff. 2% |
