Essentials before applying; 60wpm typing Strong Word, Excel and PowerPoint Corporate experience Good GCSES and or A'Levels Solid work history Experienced partners secretary. This dynamic team consists of a Partner, 1 Director & 2 Senior Managers. An element of the role will be to generate reports, proposals and lengthy documents that require an efficient and speedy turnaround. The role requires a confident individual with good communication skills. Below is a list of the key responsibilities for this role with an approximate percentage of the amount of time spent that would be spent on each: Maintain full control of Partner's diary as well as updating diaries for the other team members' for whom you are responsible. (20%) Organise internal and external meetings / conferences / functions including travel, accommodation, itineraries, equipment and catering. (15%) Produce and proof read high quality reports, correspondence, minutes, file notes and faxes, from macros and non-standard documents to tight deadlines.(10%) Produce PowerPoint graphics, copy/audio typing and Excel spreadsheets. (15%) Receive and deal with where appropriate both internal and external post, faxes and emails for Partner and team members'. (10 %) Attend meetings and take meeting notes. (5 %) Undertake company background searches on the internet for team where required. (5%) Ensure client files are kept up to date by giving copies / originals of all relevant documentation to the departmental filing co-ordinator to file. (5%) Handle internal and external calls from senior staff and clients. (5%) Input timesheets and expenses for Partner and team members. (5%) Other ad-hoc duties as required by department. (5%) The Individual We require the following qualifications, skills and experience: Ability to work under pressure, ensuring that important deadlines are met 2 years' experience as a secretary supporting 1 or 2 senior staff Accurate audio/copy typing at 55 wpm Intermediate level in MicroSoft Word and PowerPoint Basic level in MicroSoft Excel 5 GCSEs or equivalent at grades A-C including English and Maths, is desirable |
