| To provide comprehensive secretarial and assignment administration support to the interim management consultants within Executive Search & Selection adhering to established procedures.
The Responsibilities Ensure all candidate and business development data is contained in Filefinder. Ensure that office billings and accounts and assigned revenue is maintained accurately. Type and prepare candidate/assignment contracts, letters and other documents Prepare Powerpoint slides, organisation of printing and binding of documents.(20%) Answer both internal and external calls promptly in accordance with policy. Make sure that accurate telephone messages are taken and distributed, and any queries are dealt with effectively.Carry out general administration - maintain details of staff whereabouts and client information.(15%) Manage diaries for group of consultants. Arrange internal and external meetings, book meeting room, catering and equipment as necessary. Organise all domestic and international travel and accommodation as required.(15%) Support Department with finance administration : including setting up new codes and arranging for preparation and despatch of outgoing invoices and payment of incoming invoices. Under supervision of consultant, arrange and administer credit control activity. Liaise with Accounts.(30%) Ensure all filing systems, including the recruitment database Filefinder, are accurate and up to date, including candidate logs(10%) Greet candidates and ensure arrangements are in place for candidate/ client consultant/ candidate interviews.(5%) Build a comprehensive knowledge of ESS Group's business and maintain an ongoing awareness of business issues.(5%) The Person Good standard of education including English and Maths GCSE grades A-C. Typing 50 wpm (touch typing). Intermediate Word,Intermediate PowerPoint & Basic NECTAR -training provided. Filefinder - training provided. Database & Outlook experience is an advantage. At least 3 year's secretarial experience working for a senior manager in a team environment. Exposure to Professional Services/HR and/or recruitment environment an advantage together with an understanding of the Public Sector. |
