The role requires initiative and flexibility, suiting an efficient organiser with fast and accurate typing and powerpoint skills. To be successful, the job holder will need to be enthusiastic, confident, assertive, willing to work overtime when necessary and have the ability to prioritise their own workload. Must be used to dealing with clients at the highest levels and must present a professional image at all times. The job holder will also be required to cover secretarial holiday/sickness absence when necessary and when workload dictates. The Responsibilities Typing of minutes, correspondence, (including letters and reports), proposals and other general correspondence (audio and copy) which may be of a confidential nature. Diary Management. Vetting requests for meetings and arranging meetings both internally and with clients. Compiling all necessary papers for meetings in advance including carrying out research where necessary Arranging and booking tickets, hotels etc and compiling itineraries for both overseas and UK travel. Maintaining summaries of expenses and what they pertain to, to provide information to senior managment. Sorting, distributing and prioritising both internal and external post and actioning anything where possible on behalf of the partner in order for him to maximise use of his time. Compliation of standard correspondence on behalf of the partner. In accordance with policy handle incoming telephone calls from both clients and staff. The job holder will be required to handle queries independently where appropriate and screen all calls, re-directing calls where appropriate. Putting together packs for internal and external meetings which will involve gathering information from a variety of sources and generating a pack which could be used for the partner's own information or as a handout at meetings and other marketing events. Assisting the partner to prepare for client presentations/proposals which will involve reserach work as well as production of powerpoint presentations. Develop a comprehensive knowledge of the group's business contacts and develop a general awareness of all business issues in which the partner is involved. Maintain a daily "To Do" list to ensure that all deadlines are met. Maintain client and internal filing systems ensuring that all information is accurately recorded and filed as appropriate. Organise social functions where necessary including venue, catering, invitations and payment of invoices The Individual Technical Skills as follows: - Qualifications 5 GCSE's/O'levels including Maths and English 5 years of references available on request |
