Secretarial - PA Secretary

Solid secretarial work history within a large corporate organisation.
60wpm Typing
High degree of self confidence

The individual must show initiative, flexibility and discretion. They will need to be confident, assertive, be proactive and have the ability to prioritise their own workload in order to meet the needs of the partners.
A professional image must be presented at all times.
The Responsibilities

Management of each partner diary. Being proactive - dealing with emails and issues on partners behalf.(25%)
Organising all aspects of meetings / conferences / functions. Arranging travel, accommodation and compiling itineraries. (15%)
Other administrative tasks as required on behalf of your partners including expense claims, timesheets, conference calls, research for projects, photocopying, and liasing with document production. (20%)
Provide accurate and prompt audio and copy typing, to tight deadlines. This will include typing reports, correspondence, minutes, file notes, faxes, PowerPoint graphics and Excel spreadsheets.(15%)
Answer internal and external calls promptly and politely in accordance with policy ensuring that accurate and detailed messages are taken and distributed and any queries dealt with professionally and effectively. (15%)
Sort, distribute and prioritise post, faxes and e-mails dealing with them as appropriate. Be proactive and draft replies to incoming correspondence on behalf of the partners.(5%)
Maintain effective client and internal filing and information systems (5%)
In the absence of the other secretaries you are expected to cover their roles.
Any other ad-hoc duties as directed
The Person
You will need the following qualifications, skills and experience:
At least 3 year's previous secretarial experience working at a senior level
5 GCSE's or equivalent at grades A-C (including English)
5 years of references available on request
Accurate audio/copy touch typing skills at 60wpm
Advanced knowledge of Microsoft Powerpoint, Word, Outlook and Excel
Appropriate secretarial or administrative experience
Excellent telephone manner - confident and polite
Good command of written and spoken English, accurate spelling and good grammar
Word-processing/spreadsheet/PC knowledge

Absolute discretion at all times with the ability to preserve complete confidentiality
A self starter - need to be proactive
Competent and assertive
Common sense and initiative
Good organisation skills with absolute attention to detail
Flexible approach to working hours/job content
Unflappable, enthusiastic and ambitious
Be prepared to take responsibility for all actions
