Secretarial - Team Secretary

in London City

Team of 18 staff within world leading corporate; They looking for an Secretary / administrator to join the team. The role is extremely varied although it will be primarily aimed at support of the management team and project administration, with some general support for the department.
ESSENTIAL SKILLS BEFORE APPLYING
55wpm Typing
Strong MSOffice Skills
2 Years Sec / Admin experience
Strong interest in IT
The Responsibilities
PA to director and senior manager including:
Maintain full control of diaries
Organise internal and external meetings including travel, accommodation, agendas as required
Handle internal and external calls from senior staff, clients and suppliers
Attend meetings and take meeting notes
General secretarial support
Administrator for department including:

Arranging meeting rooms, maintaining boardroom diary and sending out meeting requests
Distributing post including logging software releases
Minutes and actions for team meetings
Organizing any couriers for the department
Organizing travel for the department as required
Some typing\photocopying
Co-ordinating all training courses including (approx 2 - 3 courses per month):

Booking facilities
Ensuring material is printed and available
Arranging and couriering equipment
Coordinating attendees and confirming bookings
Follow up 'no shows'
Summarizing evaluation forms from all training courses
Organising the laptop equipment log (13 PC's) and coordinating use of equipment
Cost Centre Administrator including:

Logging all invoices
Dealing with invoices including queries from accounts payable
Running monthly reports
General assistance to cost centre manager
Project Administration:

Assisting with the maintenance and development of the Microweb news site including
assistance with building the pages
posting new articles and updating content
Administration of projects including
Gain a working understanding of the Projects process
Track and follow up project milestones
Be a key contact for teams to manage project milestones
Administration for Inland Revenue e-initiatives including
Assisting in set up of services, for example CT Check, in conjunction with the Project Manager
Maintaining login IDs and passwords for offices across the country
Be a key contact for administration queries


The Person
An interest in IT is key
Ability to work under pressure, ensuring that important deadlines are met
Ideally have a minimum of 2 years' experience as a secretary supporting 1 or 2 senior staff
Accurate audio/copy typing at 55 wpm
Intermediate level in MicroSoft Word
Basic level in MicroSoft Excel and PowerPoint
Experience of MicroSoft Project is desirable
