ESSENTIAL BEFORE APPLYING 50wpm + Typing Solid Secretarial background Stron MSOffice Skills To provide secretarial and administrative support to a team of senior professionals. Duties will include: In accordance with policy answer and handle internal and external telephone calls promptly and politely, screening calls where necessary. Taking effective messages and passing to the relevant person or actioned as appropriate (20%) Manage diaries for department management group (at the request of individual managers). Arranging internal and external client lunches and meetings booking meeting rooms, catering and equipment as required. Organising travel and accommodation as required by individuals in the department. (15%) Supervision, coaching and distribution of work to the junior secretary. Monitoring the output of work produced by the junior secretary and highlighting any concerns / issues to the line manager(5%) Arranging and booking all domestic and international travel, ordering tickets, hotels etc and compiling itineraries for both overseas and UK travel (10%) Produce high quality reports, correspondence, minutes, file note and faxes, using macros and non-standard documents (10%) Produce PowerPoint graphics, copy/audio typing and Excel spreadsheets (10%) Photocopying of documents, arranging bulk copying where necessary with Document Production and binding of documents where necessary (5%) Responsible for all compliance admin in the department includes: generating compliance schedules from Access, circulating thses to managers and chasing their return updating the database with amendments maintaining the files for thses schedules maintaining engagement letter files and updating the database on their receipt assisting the compliance manager regards completion of Compliance Independence and Ethics quartely return(15%) In conjunction with the junior secretary, responsible for all department logistics(4%) Ensuring all filing systems and archive records are accurate and up-to-date(2%) Meet and greet clients at reception and escort them to meetings (2%) Sorting, distributing and prioritising both internal and external post (2%) Assisting with ad-hoc projects as appropriate The Person We require the following qualifications, skills and experience: To include: Formal secretarial training and at least 2 year's secretarial experience working in a team environment 5 GCSE's or equivalent at grades A-C (including English) Accurate audio/copy touch typing skills at 50-60wpm Advanced knowledge of PowerPoint and Word Intermediate knowledge of Excel, Outlook Basic knowledge of Access (or other relational databases) |
