Main function of the role is to ensure the smooth running of the Consultancy process. This includes the use of Saleslogix, project management system, Planview, and administrative support.

Main Activites:
Planview related (timesheet system)
Ensuring projects are set up according to a specific structure
Setting up proposal templates in Planview
Answering queries regarding Planview
Liaising with IT support and Planview directly regarding Planview errors
Producing Planview reports (utilisation) and monitoring their accuracy. Fixing errors on reports
Setting up of new staff in Planview and training of new staff in its use.

Project management system
Co-ordinating monthly project updates by liaising with Accounts (monthly ?tbc)
This will need to be more clearly defined when we have the new PM system in place

Sales/bidding process
Assigning consulting leads which come in from the sales team and through the enquiry e-mail address, from sales team etc - ensuring all leads have been assigned
Generating and formatting the pipeline report for SLX (contact management system) on a weekly basis; maintaining the wins/lost jobs and new bids excel sheet
Monitoring lost bids in slx
Giving out new project numbers (setting up on the R/drive, sending information to accounts and ensuring that the Project Manager sets it up on all systems)
Co-ordinating project closure and knowledge management. Setting up and attending the project closure meetings, collecting questionnaires, models, proposals etc for knowledge management, storing the completed project closure documents and ensuring that a project summary is captured on the database
Capabilities and other marketing collateral for consulting. Maintaining the project summaries and putting together capability statements for proposals. Ensuring that there is an adequate supply of brochures and inserts and putting together packs as required.

Other duties
Preparing reports for weekly GM meeting including pipeline update report and utilisation reports
Attending consulting management meetings
Publishing documents on the intranet and maintaining the Consultancy intranet page
Arranging meetings using Outlook (including social events of the group)
Dictation for some senior members of the group
Ad hoc administrative support
Occasional reception duties
Ad hoc assistance to consultants on projects; e.g. research queries, client liaison
Assisting consultants prepare bids and proposals (organising company accounts and stamps, formatting and binding of material, arrangement of courier and other related duties)
Training of new staff on Planview and slx
maintaining staff holiday spreadsheet

Skills / experience sought:

Someone with several years experience (2 - 3 is fine) not right out of university. They need to be able to deal effectively with accounts and other senior people.

Spreadsheet skills would be very useful as well as PowerPoint and Word skills

Someone who is numerate

A second European language would be useful
