Senior Auctions Administrator

Working for one ofthe biggest property companies in the World. They are seeking a mature (30+) individual with proven experience in complex administration roles.

OBJECTIVE OF ROLE

This position is responsible for providing administration support to the Auction team to ensure that the Auction process runs efficiently and effectively.

TEAM STRUCTURE

The team comprises one European Director, two National Directors, three surveyors, two graduates an administrator and a secretary.

CLIENTS

All major property owners including Institutional Funds, Property Companies, Corporates and Private Investors.

ACCOUNTABILITIES

an• Administering information flow to prospective buyers; for example sending out legal packs, advising on guide price and responding to other general requests.
an• Ensuring that all standard auction correspondence is sent out accurately and in a timely manner.
an• Collate legal packs with documents supplied by solicitors
an• Assisting the Auction team surveyors in preparing for the auction day by preparing contracts for sale.
an• Ensuring that the process runs smoothly on the auction day including liaising with the hotel, setting up the auction room, ensuring all legal documents are available and staffing the contracts desk.
an• Responsibility for the departmental filing systems including archiving.
an• Ensuring that best practice is adhered to.
an• Ensuring that all new instructions are accurately logged on the computer database and that any conflicts of interest are flagged to the appropriate surveyor.
an• Assisting the surveyors with the production of the auction brochure.
an• Other administrative support tasks for the business unit as and when required.
an• Some typing of reports

REQUIRED QUALIFICATIONS AND EXPERIENCE

an• Proven organisation skills
an• Experience of managing a complex administration process
an• Ability to prioritise workload under pressure and willingness to complete projects in a timely and efficient manner.
an• Ability to multi-task and remain calm in pressurised situations.
an• An excellent telephone manner and interpersonal skills to deal with a wide variety of people and clients. The candidate must demonstrate the ability to establish good relationships with both clients and team members.
an• Adopts a flexible approach to work: some early starts and late finishes will be necessary.
an• Team player who deals effectively with colleagues and clients
an• Conscientious with excellent attention to detail
an• A demonstrated mature attitude and the ability to work on their own initiative/think ahead of the game
an• A willingness to be involved and to contribute to the business activities of the Auction team
an• A confident outgoing personality: mature, easy going and unflappable with a great sense of humour, friendly and approachable.
an• Excellent spoken and written communication skills.
an• Excellent skills in MS Word, MS Excel, MS PowerPoint, MS Outlook and Internet
