My Clients are looking for a TOP person to join their team supporting the Business Manager. You will be Co-Ordinating an administration team of three, ensuring the delivery and Co-Ordination of full and effective support to the Director and the team.

JOB CONTENT / KEY TASKS

¡ To initiate and coordinate the administrative / team activities necessary in the assuring the delivery of the work programme.

¡ To provide clear and comprehensive briefings to the team, communicating team tasks, purposes and goals.

¡ To use own initiative and influence to ensure actions of team move us towards achieving activities within Business Plan.


¡ To develop and monitor a workable team plan.

¡ To update the team on the status of all tasks in relation to the work plan . To be able to identify current work progress and actions necessary to achieve tasks.

¡ To reflect within the team plan areas of team members joint activity.


¡ Contribute to team meetings, team reporting, team working and implementing organisational priorities, assisting in the development of systems and protocols.

¡ To take a specific lead in clarifying tasks for the administration team, ensuring that high standards are achieved, drive deadlines and assist in making the linkages between team members activities.

¡ Gaining information from and giving information to team individuals.

¡ To undertake ad hoc desk top research and take direction on projects and priorities from the Director and Business Manager in liaison with the Programme Coordinator.

¡ To collate and submit reports on work in areas as required and be flexible in the broad remit of the post.

¡ Support the subscription process in ensuring that all subscriptions and renewals are up to date, and oversee and follow up the welcome procedure with the support of the Administration Assistant.

¡ Maintain forward agendas for regular Management Board meetings, call for agenda items, and collate relevant papers.
¡ Take accurate minutes of Board meetings and circulate.
¡ Fix dates of all Board meetings and book meeting rooms. Produce an annual timetable of Board meeting dates at start of year and circulate.

¡ In consultation with the Business Manager produce analysis papers and background reports on subscription, website and member activity. Disseminate findings to the team and other relevant parties.
