To enhance the effectiveness of the Director of Circulation & Information Services and the Circulation, Circulation Marketing, Circulation IT and Direct Marketing Teams by providing support, managing day-to-day administration, schedules and requirements of the circulation and circulation Marketing Offices.

Job Context: -
The role of the Personal Assistant/Office Manager is crucial to the smooth running of four busy departments. The individual works closely with the Director of Circulation, but also provides some supports to the Circulation Senior Management Team who report directly to the Dir of Circ (5 Reports)
The Post holder will also liase with Direct Marketing, which is a stand alone profit centre within Communications responsible for the sale of our high value leading business to business magazine lists and some well targeted third party consumer data. CDM has its own PA; however, the post holder will be expected to provide holiday cover for her/him. (For this purpose full training will be given on compiling sales reports.

The role is very varied combining secretarial, administration, circulation, and marketing and sales support functions and there is much opportunity to use initiative. It is important that the post holder maintains an up-to-date list of tasks that form their current workload at any one time and keep the Head of Department informed of progress and priorities and any problems that affect the progress of work.
The work of the Circulation department is mission critical to the sales and fulfilment of publications and has a significant impact on the company's bottom line. As the department fulfils a central support role the post holder will need to be able to deal with Centaurs Publishers as well as external suppliers, other internal support teams and subscribers.
Personal Assistant to Director of Circulation
Key Accountabilities:Performance Measures:
Open sort and prioritise the days post sorted post, reports and *****Collate internal reports Documents relayed daily to
Director
Type correspondence, memos, reports, Accurate work to be completed charts & presentations within agreed time scales. Deal with Out tray Comprehensive and up to date Filing and Photocopying filing system maintained Maintenance of accounting records. Accurate records maintained of revenue generated and expenditure.
Maintain Diary and Arrange meetings
Meetings to be booked and confirmed with any relevant notes, reports, briefing papers ready in advance. Preparing Monthly Statistics Accurate work completed
(usually excel Spreadsheets) within agreed time scales
Circulation
Key Accountabilities: Performance Measures:
Bank and Maintain accounting records Accurate records maintained for copy sales cash. Act as a contact point for newstrade. Good relationship maintained distributors and distribute distributor and timely maintain Newstrade sales figures distribution of newstrade sales data
General
Key Accountabilities: Performance measures:
Order Stationary Order necessary stationery within budget guidelines and hold stocks of essential items
Maintain personnel and attendance records Up to date personnel records
And organise interviews and timely and effective staff recruitment
Assist the Dir. Of Circ as requested on any other Accurate project work to be matters and the management team with ad hoc queries completed within agreed time
and projects as directed by the Dir.of Circ. Scales
Competencies:

Knowledge Skills and Experience:
The job holder will be:

Personable and efficient in Communications with others both face to face and over the phone
Highly Discreet as the role involves dealing with staff records and other confidential information
Highly organised and efficient in their own work with excellent attention to detail
Able to organise others
Highly numerate
Familiar and able to work with Excel Spread sheets

Complexity and Creativity/Innovation:
The job holder will be juggling a number of tasks and should therefore be able to prioritise and work on his/her initiative to meet deadlines.
