OBJECTIVE OF ROLE
Information Technology Group has an outstanding reputation for their work and has some of the most respected IT lawyers. The clients span every area of technology, from entrepreneurs and start-ups to blue chips and government departments. With vast experience of advising organisations in both the private and public sectors, the service encompasses the widest range of non-contentious and contentious work.
The individual will be working within a small team of Solicitors and Legal Executives providing dedicated support to a major investment bank client. This way of working is being used as a model and it is anticipated will become part of the service offered to other clients.
The department uses Word but both Excel and Access are needed for the production of reports and database work. The workload is often unpredictable with tight deadlines and the individual must have proven prioritisation skills. This job description is not exhaustive and the job holder may be required to undertake additional duties from time to time to ensure the smooth running of the function.
DUTIES & RESPONSIBILITIES
The role will be contract administration. The job holder will be expected to:
provide general secretarial support e.g., typing, arranging couriers, meetings, copying, opening new matters/files, filing and carrying out conflict checks;
distribute new work received from clients to fee earners within the department;
prepare status reports on matters currently worked on;
input contract details into an Access database;
communicate with the client and their suppliers over the telephone; and
become familiar with client files so as to be able to know with ease to which contract a client is referring, what the client’s business is and to have a good understanding of what its most urgent current projects are. 1.
SKILLS AND ATTRIBUTES
We are looking for, minimum of 1 year’s contract management experience and the following:
good speech and personal presentation;
a confident, self possessed individual with a mature attitude towards work;
ability to stay calm in often demanding situations in particular when operating under pressure;
excellent, proven administrative and organisational skills;
proven ability to deal with confidential matters;
proven initiative and a proactive attitude;
knowledge of Word, Excel and Access;
able to work as a team member; and
flexibility regarding working hours.
