Executive Assistant

Administration - Administrator with Typing

in London South West

An Executive Assistant is required for a 3 month temporary assignment to start on 4 May *****.

The purpose of the position is to provide a full range of admin and PA duties to the Executive Director.

The ideal applicant will have proven high level admin and organisational skills. Minimum of 2 years experience in an administrative role. High level IT skills and familiarity with a range of software packages, including Word, Excel and Outlook Express. Experience of minuting meetings and compiling correspondence is also essential. Experience of working in a communications, marketing or resource development department or organisation is highly desirable.

Duties to include:-

Maintenance of Executive Director's diary.

Booking of internal and external meetings including preparing and circulating agendas and papers, minutes and ensuring actions are followed up. Booking of rooms, refreshments etc.

Setting up, maintaining and improving admin systems and processes including filing and archiving systems.

Devising schedules, timetables, invitation lists etc.

Undertake research, collate information and prepare briefings as required.

Create and maintain data and information systems (e.g. mailing lists, databases).

Drafting correspondence, organising travel and accommodation arrangements, maintaining office procedures, filing and archiving.
