JOB DESCRIPTION


JOB TITLE:Human Resource Assistant (London)


DIVISION:People & Development


REPORTS TO:Human Resource Manager

Joiners and Leavers Administration
· Producing standard and non-standard offer letters
· Chasing up the return of acceptance letters and start dates
· Monitoring results of medical questionnaires
· Producing joiners forms and distributing to relevant individuals
· Production of welcome letters for new joiners
· Production of weekly Manpower Report noting joiners and leavers and staff changes
· Resignation acknowledgements
· Carry out exit interviews
· Producing leavers forms and ensuring correct monies are paid in final pay cheque
Induction
· Preparation of induction packs
· To be responsible for meeting new joiners on the first morning and for completing the necessary joining administration, i.e. any forms, security pass, induction checklist etc
Project Management
· Production of monthly exit interview report
· Production of monthly sickness report
· Production of monthly headcount report
· Responsible for the administration of the annual personal profile report

Recruitment
· Responsibility for recruitment of support staff
· Producing job descriptions for non managerial positions
· To negotiate placement rates with recruitment agencies
· To ensure that the BUL is contacted once an employee resigns to ascertain whether a replacement is required

Students
·To ensure that BUL's are contacted 3 months prior to the end of the student-training contract to see if permanent contracts are to be offered. To provide permanent contracts of employment to students once requested by BUL's

Graduate Recruitment
· To oversee the administration of graduate recruitment days - 4/5 per year
· Assist on graduate recruitment days when required
· Assist with the testing for graduate recruitment

Salary Review
· To assist the HR Manager with the annual salary review process, to include preparatory work, annual salary survey and the production and distribution of letters for the London region
· Producing 'change of status' forms following salary reviews
· Producing salary increase letters following Institute Examination results
· Preparing promotion notices for the notice board
· Notification to London Payroll department of exam prizes

HR Database (Source)
· To be responsible in conjunction with ISG for ensuring the information on Source is accurate and kept up to date. To provide standard reports as required to partners and staff

Employment Related Matters
· To deal with work permit applications

Sports Club Scheme
· Liaise with Fitness Exchange regarding new membership prices every year
· Calculate the new fee structure
· Renew or cancel any memberships for the new year
· Carrying out all administration
· Liaise with staff regarding any promotions at the Fitness Exchange
General
· Typing general correspondence
· Assisting with other tasks/projects, as directed
· To ensure that the salary spreadsheet for the firm is kept up to date with joiners, leavers, transfers etc for the London Region

· Minimum 5 GCSE's (or equivalent) grades A-C required
· Preferably CPP qualified
