Administration - Administrator with Typing

in London City

aspects that are important are Word & Excel (Intermediate), some Powerpoint, email (Lotus notes desirable).You Will be administering 10 - 15 people. Financial sector background would be nice, but mainly need good all round administration from Banking or financial Services. Please only apply if you have relevant expertise and 8 months plus experience.


ADMINISTRATOR, EUROPEAN STRUCTURED FINANCE

The job entails working closely with a team of 10 - 15 analysts with varying job titles from Analysts to Managing Director. As the primary administrator for this team, responsibilities include

Job Specification:

· Diary management, arranging meetings and booking rooms using Lotus Notes
· Arranging travel for analysts as and when necessary (flights, hotels), through in-house travel desk
· Preparing mandate letters
· Preparing expense claims for senior staff (Directors and above)
· Preparing invoice requests for submission to the Accounts department
· Monitoring attendance of team on a daily basis
· Using LeaveAdmin system to keep track of holidays/sickness, etc.
· Ensuring Dealpipe is up to date with details of all deals (information provided by analysts)
· Attending admin meetings to keep self and other administrators informed of admin issues/changes
· Attending team meetings with analysts to take notes and keep team informed of relevant admin issues
· Liaison with other departments to clear up/deal with admin queries/requests, e.g., IT, Accounts, Premises
· Dealing with clients via telephone/email
· Preparing/updating PowerPoint presentation slides as and when required
· Using the Internet to retrieve research pieces for internal and external clients
· Other general administrative duties - faxing, photocopying, filing, retrieving files from offsite archive storage, booking taxis, ordering stationery, etc., as and when required
· Providing back up for other administrators

Person specification:

Essential:
· Strong organisational and time management skills
· Good (intermediate/advanced) knowledge of Microsoft Office - Word, Excel, PowerPoint
· Good telephone manner
· Team player
· Flexibility

Desirable:
· Some knowledge of another European language (French/German/Spanish/Italian)
· Knowledge of Lotus Notes
· Familiarity with the Internet
· Ability to multi-task
