This is a fantastic opportunity for a 2nd/3rd jobber with minimum 18 months experience to join this prestigious City Investment / Insurance Company supporting the P&I group dealing with Pensions & Syndications. An idea of terminology would be highly advantageous!

Job Purpose:
To provide clerical, administrative and technical support to the Syndicate.

Key Accountabilities:
A. GENERAL
· To enter/cancel member/vessel details on Referential Data and Cover Entry programs.
· To produce computer-generated entry debit notes and dispatch to members/brokers.
· To set up member/vessel details on Hydra System.
· To produce and dispatch Certificates of Entry to member/broker as appropriate.
· To produce documentation necessary for members to obtain entry approval by U.S. Coast Guard, Letters of Undertaking, and issue CLC Blue Cards to members.
· To issue Endorsement(s) to Certificate of Entry and update records where necessary.
· To debit miscellaneous items, changes to cover etc.
· Where vessels are cancelled or withdrawn update records, to issue appropriate Credit Note(s), Endorsements and advice of cancellation to appropriate third parties.

B. RENEWAL:
· To update Cover Entry System.
· To produce Renewal files to Underwriter.
· To debit Renewal Premium.
· To update system with terms and conditions and produce Certificates of Entry.

C. MISCELLANEOUS:
· To deal with enquiries from members, brokers and third parties.
· To upkeep members' files.

Dimensions:
The support team member is involved in assisting the P&I support teams in the production of documentation for Members, and the day-to-day running of their accounts. When not involved with this, they will help the Underwriting Services Manager with general administrative duties.

Nature & Scope:
The P&I division is split into five component parts; P&I Executive & four syndicates. The syndicates deal with the day-to-day running of Members accounts whilst P&I Executive performs an overall supervisory role.

Work Proficiency: Able to handle and prioritise a variety of tasks and demands with high level time management & organisational skills. This requires attention to detail & accuracy & a methodical approach to work. The post-holder must be able to work unsupervised where necessary & all tasks must be completed with a timely fashion.

Oral Communication: Responds to requests for information & communicates information to both team members & clients.

Written Communication: Ability to accurately receive, assimilate, respond to & present information to both team members & clients.

Problem Solving: Basic numeracy skills. Able to solve mathematical problems relating to premiums& queries relating to documentation.

Job Knowledge: Ability to develop a good understanding of the requirements of the job & proficiency in carrying out the tasks required.

Interpersonal: Responsive to internal (team) & external (client) demands. Presents a professional & courteous manner. Responsive to the needs of the Syndicate team. A team player

2. TECHNICAL:
Knowledge of Word, Excel to high level is essential.
Basic Powerpoint knowledge is required.
Company operates Windows/Lotus Notes Environment.

3. EXPERIENCE:
It is likely that this job will suit an individual with some experience of a previous administrative/clerical role. Training will be provided on systems, documentation & procedures, etc.

4. EDUCATION:
Educated to GCSE or equivalent in experience or education.
