JOB DESCRIPTION
Job Title Office Administrator
Reports to Office Manager
Overall Purpose
Provide an administrative service to the Central Administration function of leading Management consultancy. The Office Administrator will report on a day-to-day basis to the Office Manager, although the role will also support the People Function and the Finance Function plus doing ad hoc project work for the Consultants.

Key Tasks and Responsibilities
Operations
Receive all incoming calls through the switchboard. Ensure that accurate telephone messages are taken and distributed and all queries are dealt with effectively and timely.
Meet and greet all clients, escort them to meetings and provide refreshments as appropriate. Ensure the Visitors Book is completed when visitors arrive and when they leave.
Keep the waiting area tidy, ensuring that all literature is up to date and presented neatly, and tidying away after all meetings.
Co-ordinate all meeting room bookings via Outlook and ensure that all office equipment such as Speakerphone/OHP/Flip Chart etc are set up accordingly. Co-ordinate internal meetings on instruction. Assist in power point presentations as and when required.
Order office stationery supplies ensuring that the stationery cupboard is always stocked up.
Keep all kitchen supplies stocked up accordingly and the kitchen is to be kept tidy.
Arrange couriers and taxis on account. Co-ordinate all company travel arrangements as required.
Receive all incoming post, date stamp and distribute as appropriate. Receive all deliveries. Frank all outgoing post and distribute accordingly.
Maintain all office equipment such as fax machine, photocopier etc managing their working needs.
Provide the consultants with adhoc administrative support.
Become a Fire Warden.

Finance
Assist the Finance Manager on a day-to-day basis with administrative requirements.
working with Rebus (in-house time recording system)
input of purchase invoices
payment of suppliers
exporting information for finance reports
sales invoice entry
credit control
sales and purchase ledger maintenance
HR Administration
Recruitment
Production of recruitment correspondence including reject letters, offer letters, reference requests and induction welcome letters.
Organising all interviews. Co-ordinating diaries for those involved in the process and maintenance of an extensive recruitment pipeline on Excel.
Responsible for ensuring the recruitment pipeline is regularly updated to show the movement of candidate applications
Monitoring the progress of all employment offers and references.
Compilation of all joining packs, employee personnel files and Induction folders.
Processing all recruitment related invoices, including agency fees.
Handling general recruitment enquiries from direct applicants, recruitment consultants and via the Internet, ensuring CV’s are logged and responded to promptly;
Preparation and distribution of induction programmes and documentation.
Responsible for establishing and maintaining effective filing and information systems for central reference documents and personnel staff files, ensuring they are secure at all times.
Assisting with all induction administration
Ensure all new joiners are allocated a Buddy.
Benefits

Process benefits administration once received back from employee.
Monitor progress of applications with IFA.
Keep spreadsheet and supporting paperwork up to date at all times.

Appraisal Process
Maintain appraisal timetable and communicate effectively with appraisers and appraisees of appraisal due dates.
Maintain up to date records of all appraisals documentation including Role Objective Forms and ensure these are filed accordingly.

Salary and Bonus Process
Maintain all relevant management information to ensure up to date records are kept
General administration with regards to salary changes and bonus review.

Miscellaneous
Familiarity with all policies and procedures
Assisting with the production of monthly HR reports for the People Function, People Director and Exec.

£20,000 - £22,000
