| Purpose -
* To provide administrative and organisational support to managers such that profitability of the team and business unit is enhanced. * Reporting to the Business Unit Manager. Core Responsibility - * Act as a focal point of contact, ensuring efficient liaison between Manager and clients, colleagues and personal contacts. * Ensure Manager's diary appointments and travel itineraries are efficient organised. * Schedule, book and arrange resources to support appointments and travel plans. * Conduct project and research work as requested. *Co-ordinate management of gifts and telegrams for weddings and births. * Acts as co-ordinator for salary review. * Prepare and product documents and materials in line with Manager's core outputs and deliverables. * Ensure an effective filing system is maintained. * Ensure equipment, facilities and supply of consumables in immediate working environment are maintained to optimum level at all times. * Ensure that ISO *****general procedures are being met within the division. * Recruitment of secretarial / support staff within the business unit. Organise temporary staff for holiday and sickness cover. * Implement induction process for new starters. * Training on timesheets and invoicing package for all staff in the business unit. * Liaising with the HR Department regarding sectarial and support staff. * Keeping up to date personnel status reports. * Compiling financial and management information, ie; liaising and working with Directors on billings, expenses, debtors. * Producing invoices. * Providing secretarial support to the Business Unit Manager which will include drafting and typing correspondence, attending meetings, and preparing presentations. * Undertake voluntary or nominated duties in order to ensure the smooth flow of work through the team or business unit. * Help to co-ordinate MIPIM. * Updating the Business Disaster Recovery Plan. Candidate Requirements - * Secretarial diplomas / certificates (ie; Pitman, RSA, etc) * Advanced Word, PowerPoint, Excel, Lotus Notes * Typing speed 60wpm minimum / Shorthand 90wpm minimum * Recruitment / HR experience (knowledge of recruitment policies and procedures) * Senior secretarial / PA experience (five years minimum) |
