This is a 6 month FTC. The role involves the provision of a comprehensive and efficient subscription management service and facilitating access to the information available within a division. The division is the UK buying centre for external content. The Information Specialist works within a Subscriptions team of three. Together they are responsible for the provision of subscription and standing orders services to all staff in the UK.
The roles within the Information resources team are changing and the role requires the ability to combine administrative tasks with proactive and developmental objectives.

This role requires very strong administrative and task management skills, and the ability to manage a significant workload effectively. The maintenance of both paper and electronic records of subscriptions is critical to this role. The job holder will also be required to liaise with the business and to implement processes and policies that meet business needs.

Although the role is largely administrative, it does require an individual who is also innovative and proactive in terms of promoting electronic alternatives. The link between subscriptions and promoting electronic sources as an alternative is very important. The role requires that the individual has the ability to understand electronic sources such as Factiva so they are able to guide users through the system with confidence.

The role will also require that they undertake a day on the enquiry desk answering queries on a range of corporate issues. Again this requires an individual who is confident on a range of electronic sources, whilst being helpful and versatile. It is important that the individual is thorough and pays attention to detail. This is important when understanding research requirements and capturing these on the Library Management System.


The Responsibilities
Identifying and selecting suppliers, establishing performance measures and quality standards for the supply of publications, monitoring service levels. (10%)
Processing new subscription orders, cancellations and renewals. Undertaking bibliographic searches for subscription information using printed, online and electronic sources. (25%)
Maintaining and updating subscriptions pages on the UK Intranet. (10%)
Ensuring the maintenance of accurate records of subscriptions and standing orders using the NOTEbooks database and paper filing system. Maintaining and updating subscription procedures. (25%)
Invoice processing, verification of charge codes, supplier payment. (20%)
Supporting and encouraging the use of digital information resources, including reviewing the potential provision of content in electronic format. (10%)


The Person
The individual will be required to manage the subscriptions process when the remaining two members are on maternity leave. The invoicing requirement of this role will shortly be incorporated into our clients invoicing workflow solution. The individual will be involved in judging the impact of this on the Subscriptions roles and modifying subscriptions policies as a result of its introduction.
The job holder will have an opportunity to develop the role and to participate in the development of new products and services.


Experience of administrative and/or purchasing service provision
At least two years' experience within a commercial environment - information service provision an advantage but not essential
Experience of dealing with suppliers and customers
Strong communication and time/task management skills
Analytical thinking skills
Ideally educated to degree level
Professional qualification in librarianship an advantage but not essential
Familiarity with Lotus Notes an advantage but not essential
Familiarity with Factiva; ICC Juniper Web; Datamonitor; Investext; Lexis Professional; Onesource; EIU; Global Access; Bloomberg; Datastream; Perfect Information; Mintel and Keynote desirable but not essential.
