Marketing Admin / Operations Asst

You will be responsible for administrative support for the department, including the control of the finance monitoring and reporting system. The team consists of Marketing Communications, Operations, Proposals and Industry Segment Managers; a team totalling 36 people. You will be the main contact for the department.

This is a unique opportunity for you to gain valuable insight into the broad spectrum of sales and marketing. The role is unique in respect of the diversity afforded to it because it covers many aspects and working alongside different units within the team.


The Responsibilities
Please find below a list of the key responsibilities for this role with an approximate percentage of the amount of time that would be spent on each:
Maintain finance system for accurately monitoring and reporting on sales and marketing activity and department spend against budget. This will involve processing department invoices, updating finance and project sheets, liasing with team members and central marketing finance and contributing to monthly reports for senior management (35%)
Produce reports, presentations and meeting notes for the department using Word, Excel and PowerPoint as appropriate and co-ordinate group projects (30%)
Develop a thorough understanding of the processes and procedures in order to provide support to the team on daily administration and secretarial tasks. This will include assisting with the induction and training of new staff and recording team holiday and training dates. It also includes the organisation of corporate gifts, staff travel, diary management for the senior members of the team and dealing with internal and external telephone queries (20%)
Set up new proposal codes on Nectar and keep a track of departmental spend (10%)
Project manage team building events/away days (5%)


The Person
You will need the following qualifications, skills and experience:
A minimum of 2 years' experience in a similar administrative role. A basic understanding of the work of a marketing department would be beneficial.
5 GCSEs or equivalent at grades A-C including English and Maths
Experience of financial systems would be an advantage
Good working knowledge of Word, Intermediate Excel, Access, Advanced Powerpoint, Outlook
Good numeracy skills - you will need to be able to read and understand statistical information for inclusion into reports to senior management.
