NATIONAL HUMAN RESOURCES - PROGRAMME DELIVERY TEAM

CO-ORDINATOR (V3)

A Co-ordinator is required to join the Programme Delivery Team within Human Resources.

The role involves co-ordinating the Induction Programme, part of the Skills Development Programme and maintaining the Firm’s London Training and Resource Centres.

This role is based in the Firm’s City House Office, so will involve working remotely from the rest of Human Resources.

Main Responsibilities:

Co-ordination (Induction/Skills Development Programme Delivery) (60%)

l Assisting with the scheduling of the Induction and Skills Development Programme
l Lifting, packing and unpacking of training materials
l Arranging courier deliveries and collections of training materials
l Liasing with HR contacts, IT, participants, trainers and sponsors and venues as appropriate
l Maintaining accurate data on the Learning and Development Database (LAD)
l Issuing of Programme Joining Instructions to participants
l Collation of handouts, workbooks and special materials for workshops
l Monitoring stock levels of materials for local and national workshops
l Keeping collating area tidy
l Ordering and monitoring of stationery supplies
l Raising invoices and cost recoveries
l Dealing with telephone calls & general enquiries
l Other ad hoc duties for the departments as required.
Co-ordination (London Training Centre (LTC)) (35%)
l Maintaining the LTC diary
l Dealing with LTC queries on facilities and take bookings
l Liasing with booking contacts in respect of event requirements, including any equipment requirements
l Monitoring cancellations
l Providing caterers with catering requirements on a weekly basis
l Monitoring service provided by caterers
l Processing invoices as required
l Providing Security on the Ground Floor with attendees lists
l Checking that the rooms are set-up according to the booking requirements and in good time for the course/workshop running, some rooms will need computers to be set up
l Laying out stationery/materials/computer equipment/AV equipment etc.
l Ensuring signs are up for courses/workshops for each training room
l Being aware of trainer needs and follow-up on non-arrivals
l Liasing with Office Services regarding cleaners, air-conditioning etc
l Monitoring the IT Pool, maintaining and monitoring equipment.

Co-ordination (Learning Resource Centre (LRC)) (5%)

l Sending out resources
l Booking out resources
l Checking LRC e-mail
l Maintaining the LRC database
l Dealing with all administrative queries
