JOB DESCRIPTION ADMINISTRATIVE TEAM Cover for 6 months (8am - 5pm)- Then Perm in December! DC Gardner Training is currently seeking an Administrator to join its team. This team is responsible for the administration for a number of training courses each month taking place in the UK and overseas. The role is suitable for an energetic organiser with excellent office skills. The job includes the following: COURSE ADMINISTRATION Confirming course requirements with clients i.e. venue, equipment, room setup, travel details, who copies materials Requesting delegate numbers/lists and accommodation details from clients CONSULTANTS Working with allocated internal and external consultants (& others where required) Monitor consultants' schedules to ensure appropriate forward planning of travel/accommodation and photocopying schedule Chasing consultants for course materials when time is critical Typing course materials i.e. notes, case studies, slides, outlines Scanning in documents where necessary Making sure all details pages are up to date - logging all new outlines and course material Photocopying and liaising with postroom to despatch course materials (master binders or copies for delegates) where required Indexing course masterfiles Producing certificates after training course Dealing with emergencies as appropriate e.g. delivering material to clients Fielding calls for consultants and forwarding, checking incoming correspondence and taking action where required in their absence Checking incoming correspondence in the absence of consultants and taking necessary action Liaison with in-house travel agent Flight and visa requirements for consultants Ensuring tickets are collected or delivered in time for consultant OFFICE SUPPORT Fielding telephone calls, taking messages and forwarding to relevant staff Preparing/formatting outlines and proposals Typing/sending faxes Collecting mail and supplies from postroom Filing of general correspondence Supporting other colleagues and staff as required Identifying and flagging to management likely bottlenecks and times when scheduled workload cannot be handled and needs additional help allocated or other action Photocopying staff expense claim forms Checking voice mail on a regular basis for incoming messages Collecting visitors, making coffee for visitors Administrator must have excellent keyboard skills (especially Word and Powerpoint and basic Excel).
