OBJECTIVE OF ROLE
This role is split between Archiving and Office Services, however, the vast majority of the individual’s time will be spent working on a daily basis in the Archiving department. Whilst there are regular duties to be undertaken, the demands upon the function can be unpredictable, often with tight deadlines and the individual must have proven skills in dealing with such matters.
This job description is not exhaustive and the job holder may be required to undertake additional duties from time to time to ensure the smooth running of the function.
DUTIES & RESPONSIBILITIES
Archiving
To ensure all e-mail requests for files are dealt with in a timely manner;
To ensure all data is up to date on the CMS system and the hard copy card index;
To make certain all filing is up to date and stored on/off site as necessary;
To liaise with the off-site storage provider via email and telephone regarding files to be collected/returned as necessary;
To make regular visits to the Inland Revenue to deliver fees and ensure documents are stamped as requested;
To ensure the register of wills and deaths is kept up to date;
To ensure the deeds database is kept up to date;
Some heavy lifting is required.

Office Services
To work in the post room delivering mail between the buildings;
Any other project as reasonably required by the Facilities Manager or Office Services Supervisor as required.
SKILLS AND ATTRIBUTES
previous archiving experience required;
good speech and personal presentation;
confident individual with a mature attitude towards work;
ability to stay calm in often demanding situations in particular when the fee-earners are operating under pressure;
excellent, proven organisational skills;
proven ability to deal with confidential matters;
proven initiative and a proactive attitude;
knowledge of Microsoft Outlook;
able to work as a team member; and
flexibility regarding working hours.
