| ******CANARY WHARF****** Maternity Cover position** Office Manager / Senior multi-skilled administrator required by a large corporate based in Canary Wharf. Support to Senior Manager (35%) Administration support to Senior Manager assisting a National Head. Resourcing Secondment program Assist with permanent recruitment Graduate recruitment Following up on action points arising from DSM meetings Implement any other processes as required Ad-hoc Assurance projects Ongoing handle on overall headcount and resource requirements Assistant to Department Senior Manager (35%) Assisting the DSM's with their departmental responsibilities and helping with ad-hoc projects and requests as required. Acting as a first point of contact in the absence of the DSM and managing requests in their absence. Reviewing weekly flash stats and monthly financials and investigating any anomalies Monitoring utilisation of management groups and having an ongoing awareness of manager availability. Resourcing - first point of contact for resource administrators, oversee resourcing in general and assist with higher level queries. Assisting DSM with Busy Season Planning. Responsible for collating and updating manager database (eg skills & portfolios). Arranging department meetings, managers meetings, Managers Away Days and staff planning meetings. Prepare notes and 'Action lists' from department & manager meetings and be responsible for allocating these actions and tracking progress against them Reviewing general ledger expenses. Monitoring department sickness Department Management Group (10%) Assist with/take responsibility for any ad-hoc admin tasks at the request of the Management Group. Perform administrative aspects of internal roles: Compliance: assisting Compliance manager & administrator. Finance: assisting the finance manager. IT Manager: manage hardware and software within departments. Assist central training with manager training requirements. Organising ad-hoc internal meetings Manage workloads & ensure that secretarial cover is appropriate Conducting the K-Staff appraisals Assist with appraisal process for the Partners secretaries in conjunction with department management group & HR Managing training for Staff Write job descriptions & conduct 2nd stage interviews. Conduct induction process for staff Managing all staff - Deal with Staff issues e.g. morale problems, job dissatisfaction Operations (5%) Collated and disseminated information recieved from Operations Conduct interviews for Staff vacancies Act as IT contact for department Act as main point of contact Any ad hoc requests The Individual We require the following qualifications, skills and experience: Excellent organisational and communication skills Interviewing skills W4W, Excel and working knowledge and Retain Some basic Employee Relations (HR) understanding, e.g. maternity, sickness, unpaid leave etc Understanding of the operation of assurance departments including an understanding of the responsibilities of the management group Ability to manage staff and delegate effectively Assume a high profile in the departmental manager group, reporting directly to the Department Senior Manager The key personal skills for this role are as follows: ability to prioritise strong ability to multi-task, work well under pressure, and meet deadlines/report to many different people proactivity flexibility develop & maintain good internal and external clients relationships |
