| Our client, a national Energy supplier, is looking for an Office Manager to manage the office services team. The office services team look after; opening and delivery of mail, stationary stock control, facility management and the scanning of all customer information so that it is electronically available. The role reports to the head of HR
Duties include; • Plan and manage resource for team and duties to be carried out by team members. • Create and document all procedures for all tasks carried out by the team. • Reporting using Excel • Train and multi skill all team members so that each person can carry out all responsibilities. • Manage daily all areas of facilities management, such as general maintenance with landlords and external contractors etc. • To assist in the carrying out of general risk assessments and arranging for issues potentially affecting Health & Safety to be resolved either through internal management or the landlord as appropriate. • Oversee coordination of suppliers for services such as vending machines, bottled water, recycling, stationary etc. • Invoicing • To ensure the telephone queue for ‘Operators’ is manned at all times. Report on telephone statistics for entire business using telephone software. • Responsible for performance reviews for the office services department • Maintaining a good relationship with all internal departments. • Ensuring team has appropriate information and knowledge to perform their duty in a professional way. • Adequately resource the team to ensure smooth running of business. |
