Responsible for the provision of the support function in a department of 45 staff.

The job holder must plan and organise their own workload in order to meet deadlines for both regular and one-off administrative tasks.

Whilst the majority of duties can be delegated among the support group, the administrator is responsible for ensuring the tasks are appropriately delegated and effectively carried out.


The Responsibilities
HUMAN RESOURCES & TRAINING
Department - general

co-ordinate department induction processes for all new joiners, ensuring that the relevant administrative arrangements are made and that new joiners are briefed on office procedures.
act as the main point of contact for the HR department to ensure all routine changes to the staff database are completed on time and act as co-ordinator for all leavers and joiners.
Manage office cover and resourcing - manage the maintenance of a staff holiday planner and monitor staff absence in the department in conjunction with the HR department and report situation on a monthly basis.
Administer department social fund and manage the organisation of relevant social events.
Manage the maintenance of an up to date list of all department members contact details
Manage the maintenance of up to date email distribution lists for the department
Manage the maintenance of records of each department member's utilisation of their learning/training allowance.
Recruitment, training and management of support team

Recruitment, training and management of support team
manage support staff workload/allocations
Create job descriptions for support staff
conduct first stage interviews of support staff and support selection
conduct support staff appraisals and goal setting sessions(if necessary, in conjunction with appropriate member of client service staff) to review and develop performance, set appropriate objectives and monitor progress
conduct all administration relating to support staff appraisal
instigate and conduct formal and informal disciplinary proceedings with a member of Human Resources if/when required
responsible for welfare, training and counselling of support staff
advise HR Partner on staffing levels with regard to setting support budget
conduct briefing and support group meetings
liaise with HR department on policy matters
manage co-ordination of temporary staff bookings, obtaining appropriate authorisation from Operations Manager
manage training for support staff (both technical and personal development)
ACCOMMODATION/PREMISES MANAGEMENT - project management and admin

maintain the disaster recovery plan for the department ensuring that it is updated on a quarterly basis in conjunction with the DSMs
maintain the plan for procedures to be followed in the event of a raid by the Tax Authorities ensuring that it is updated on an annual basis
plan office accommodation changes and layout, liasing with department DSMs, Premises Planning/Team Leaders and staff members as appropriate and obtain the necessary authorisations
ensure the property charges are correct
manage all office moves (ranging from an individual to whole department)
ensure that Health and Safety aspects are being implemented correctly within the department
Ensure implementation of clear desk policy in the department and monitor on a monthly basis
Ensure the stationery needs of the department are met on a weekly basis.
INFORMATION TECHNOLOGY- control resources use and costs
