Please only apply if you have 45wpm+ Typing, have a solid and relevent work history and are literate on Word, Excel and PowerPoint The Responsibilities Answering the telephone and taking messages. Maintaining managers' diaries and keeping track of their whereabouts on a day to day basis. Arranging both internal client meetings and room bookings.Booking travel arrangements.Attending team meetings, preparing minutes and action points arising from the meeting. Ownership of the communications meeting; agenda, minutes, prompting actions Sorting & distributing post.Filing,faxing,photocopying & arranging for files to be sent to archives. Assisting managers with presentations production.Typing correspondence including letters, reports, minutes and other general correspondence for the department such as memos, faxes etc, both audio and copy. General ad hoc secretarial duties. Management Support: On a monthly basis: Assist with the preparation of the National Management Team Meeting and the reporting book. Distribution of lead partner monthly performance letter and spreadsheet. Update and maintenance of the I&G clients and targets website On a quarterly basis:send out and collate the quarterly reviews and reports. Assisting with ad hoc reports using corporate systems, excel spreadsheets etc. Capturing all leads & opportunities onto the Pivotal database and proactively tracking the sale. Maintaining the accuracy of the data on the system with the appropriate data collectors. Undertaking as hoc research projects. Assist with maintaining the distribution lists and database spreadsheets. Assist with sector marketing campaign programmes. General ad hoc administrative duties.The development of the above role will reflect the constant evolution of the sales department. The Person GCSE educated with 5 A-C passes, including English and Maths. Previous administrative/secretarial experience working at management/senior management level and for a team of people. Candidate should be computer literate with intermediate to advanced knowledge of Excel, Word, PowerPoint. Previous experience of working for an organisation within a sales or marketing environment are desirable. Typing 45-50 wpm (Touch Typing). |
