Working for this leading Charity based in the NW1 area they are seeking a Press Office Assistant

Duties will include:-

To act as a lynch pin between the Press Team, Campaigns Manager and Head of Communications providing administration support and assist in media and campaigning work.

JOB CONTENT/KEY TASKS

To co-ordinate, develop and maintain a range of highly effective administration systems for the Press Team, Campaigns Manager and Head of Communication including arranging travel, meetings, monitoring and ordering stationery, maintaining holiday diary, movement boards and sorting and distributing post.

To support the Head of Communications on a day by day basis by organising travel arrangements, meetings, filing and monitoring emails if and when necessary.

To be the first point of call for media inquires, screening calls from press and public; identifying appropriate specialists in the press and PR teams.

Liaise with external agencies and PR team to collate, log, analyse press and broadcast coverage for the company creating various reports for use by team, Directors and other members of the organistion. Reports include a weekly report, monthly media evaluation and comparison with our major competitors.

Arrange media training and crisis management training for relevant and new members of staff across the charity liaising with external agencies such as CSV media and Lions Den.

Monitor budgets and financial systems for the team maintaining accurate monthly and quarterly records. Record and process all invoices.

To manage the audio/video library, recording all audio/video programmes where Help the Aged is mentioned or interviewed, logging and archiving tapes and videos and making copies where necessary.

To promote the work of the press team and campaigns internally by ensuring relevant media work is displayed to a high standard in reception and on the 5th floor. Assist the Media Manager and Head of Communications in compiling coverage presentations in broadcast and static formats for use at meetings with Directors, Trustees and other agencies.

Assist in the organisation of media and campaign events, launches and press events, providing a reception point for journalists. This has included co-ordination of guestlists, media lists, booking of venues, catering.

Monitor news and parliamentary media (in conjunction with the public affairs teams)keeping the team up to date of stories, announcements and issues that effect the lives of older people informing press and policy teams accordingly

To manage and keep up to date the Press Team case study library, enticing, identifying and following up leads for new case studies. To be the main contact with case studies ensuring regular contact data protection requirements are meet.

Actively contribute to media campaigns. Working with the press team and campaigns manager to develop and issue media materiel including media release and responses, acting as a spokesperson if necessary.

To work with Senior Managers and the IT Department to enable the smooth introduction of new IT systems and software to support the work of the press and PR office
