| Our client will only consider applications from Graduates with 8 months+ experience within an office environment. It is essential that you are competent on Word, Excel and PowerPoint with and Interest in Photoshop.
Job Title: Communications Assistant Department: National Marketing Reports to: Director of Brand Director of Internal Communications Job Purpose: To provide comprehensive administrative support to the Communications Team, encompassing secretarial support, internal and external liaison, time management and general team co-ordination. Principal Accountabilities: Director of Brand (20%) Diary management and meeting organisation Acting as initial point of contact for telephone calls, post and emails. Being proactive in dealing with general enquiries and filtering and re-routing as necessary Organising itineraries and booking travel Processing all departmental invoices, keeping all financial records and liasing with finance department over queries. Liasing with suppliers and their staff Ad-hoc support to the Communication Team. Media & Public Relations Team (30%) Fielding calls to the press office, handling queries where appropriate. Distribution of daily press coverage, within London and New York Summarise press coverage daily, generate monthly report Booking and co-ordinating photo shoots with photographer Maintenance of Photo Library, including Staff, Partners and UK Offices Co-ordinating media training, collating and researching information for each attendee, forwarding to training provider. Internet Team (20%) Posting of press releases to the website Updating UK offices and News part of website Director of Internal Communication (20%) Admin support, including invoice processing, meeting organisation, travel Liaison with IT/Intranet team Update of News Room on Intranet site Co-ordinating the distribution of various material to all UK Partners Setting up and maintaining up to date mailing lists National Marketing (10%) Deputising for Office Manager where necessary Liasing with travel agent to arrange foreign and domestic travel Booking meetings and lunches, co-ordinating meeting times & dates Paying, re-charging and tracking invoices Maintaining a signing and filing system for FSA, advertisements, Maintaining files of the Internal marketing publication approval forms Attending and minuting meetings as required Filing of regional cuttings, summarising specific service lines Open and distribution of incoming post Maintaining UK section of International Firm’s Directory Cascading e-mail messages around the UK. Assisting in Powerpoint presentations, proof reading Research companies, news stories, various topics via the internet Knowledge, Experience, Qualifications and Special Skills needed for the job Team Player with ability to work under pressure Must be able to work using their initiative. Ideally understanding of MS Front Page Proficient copy-writing style and proof-reading ability High level of organisational and prioritisation abilities Self motivated with good project management skills Good telephone skills Confident in ability to work and communicate effectively at all levels within the Firm Good working knowledge of Word, Excel, Powerpoint, Outlook, MS Frontpage, Adobe Photoshop, www & internet explorer Educated to at least A Level standard with passes in English and Mathematics at GCSE. Training at Secretarial college would be preferred Minimum 2nd Jobber Interest in communications |
