Job Title: Secretary (12 month Fixed Term Contract) Purpose of the Job To provide secretarial and administrative support Main Duties and# *****; Drafting correspondence of behalf of the Directors and# *****; Prioritising post and E mails for the team and# *****; Diary management including arranging both internal and external meetings involving clients and colleagues from across Europe and the world. and# *****; Arranging international travel and# *****; Organising client entertainment and# *****; Setting up and maintaining Excel spreadsheets and databases. and# *****; Producing PowerPoint presentations and# *****; Extensive telephone liaison with internal and external clients and# *****; Taking a proactive approach and using initiative when making routine decisions. and# *****; Discreet handling of sensitive and confidential information. and# *****; Providing information on routine matters and dealing with routine affairs. and# *****; General office duties including archiving and filing and# *****; Audio typing including detailed reports, faxes, memos, proposals an–50% of the role Person Specification The ideal candidate will be an experienced senior secretary who enjoys the challenge of working for a dynamic and busy team. He/she will have the following skills/qualities and# *****; Advanced MS Word, MS Excel, MS PowerPoint and MS Outlook. and# *****; Excellent spoken and written communication skills. and# *****; Ability to work independently with minimal supervision. and# *****; Team player who deals effectively with colleagues and clients. and# *****; Ability to prioritise workload with an attention to detail and willingness to complete projects in a timely and efficient manner. and# *****; Some analytical ability is required in order to gather and summarise data for reports and to find solutions to various administrative issues. and# *****; Understands and appreciates the importance of using discretion. and# *****; Highly respected by colleagues and serves as a positive role model. and# *****; Uses appropriate judgement when responding to the needs of senior level executives both internally and externally. and# *****; Shows initiative in taking action and responding appropriately. and# *****; Has a typing speed of 60-70 wpm and# *****; Adopts a flexible approach to work: from time to time early starts and late finishes will be necessary. and# *****; Has proven organisational skills. and# *****; Has an excellent telephone manner and interpersonal skills to deal with a wide variety of people and clients. The candidate must demonstrate the ability to establish good relationships with both clients and team members. |
