| A professional, highly organised and communicative Secretary is required to join this innovative team in the Business Development & Marketing Department of this leading firm of Fund Managers.
Duties: · Providing comprehensive secretarial support to the 2 heads of department and a team of 10 · Managing the business diary and screening emails for the Director, Head of DC& Institutional Development and the Director of Business Development, making appointments, arranging meetings for both internal and external clients, lunch appointments etc. · To provide support for the team and ensure that requirements of team are dealt with promptly and correctly · To assist with the answering of telephone and other messages from internal/external sources in a timely and professional manner. To use discretion, decide on course of action dependant on urgency and importance. · Accurate, timely and creative production, including audio and copy typing, of all correspondence including letter composition using Word 6 and Excel 5 including: typing, collation and distribution of general correspondence including binding presentation packs and mail shots. · To organise corporate events as and when necessary. · Take accurate and timely minutes for regular internal meetings. · To arrange travel, which will include, flight bookings, hotel and transfers, foreign currency and visa requirements as well as reconciliation of expenses at the end of each trip. · To ensure that requirements of team are dealt with promptly and correctly. · To maintain absence records for the department. · Provide cover for the other secretary/administrator as and when necessary. · To understand and ensure compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which you are involved. To make enquiries to line management when in doubt. · Ad hoc duties as and when required. Requirements: · An interest in Sales & Marketing would be an advantage · Previous banking experience · Excellent oral & written communication skills · Advanced Word & Powerpoint skills · Professional and upbeat approach · Ability to juggle priorities · An eye for detail & a creative flair · Client focused |
