| This International Business Consultancy based in the heart of the City, requires a highly professional, multitasking & proficient Team Secretary to join their Geographical Business Unit supporting the Director of the UK.
Job Purpose: To provide high level secretarial support where required to all Geographical Business Units (GBU's) with the Company, as dictated by workload. Key Accountabilities: - To transcribe audio tapes and typing to a high standard of correspondence, reports, etc. - To prepare agenda items and ensure all files are kept up to date. - To assist with creation of any new documents/systems required in the work undertaken. - To draw up itineraries and arrange business travel and accommodation as and when required. - To maintain diaries, make appointments and set up meetings and to take charge of the taking of minutes of meetings if required, and to collate and distribute the same. - To deal with routine letters and enquiries in a professional and timely manner. - To receive and welcome visitors and to liaise generally in a professional and courteous manner with clients. - To be responsible for the efficient filing and photocopying and filing of correspondence, documents, etc. - To work as part of the support staff team, specifically assisting all GBU's where necessary. - To learn new techniques as required and to carry out any other tasks as required. Dimensions: The jobholder is required to carry out the allocated tasks in accordance with the Procedure Manual drawn up for the Department/Division, including any necessary authorisations where applicable. Nature and Scope: This role is key to the effective operation of the Company as a whole, and the successful applicant will work to a high level with all members of the Non-Marine team. The position does not entail working for any specific GBU, but rather providing support as and where needed according to workload. Key Skills: - Work Proficiency: Highly organised with excellent time management skills, significant experience of administration in a busy office environment and top level secretarial skills. - Oral Communication: ***** High level and confident spoken skills, the incumbent will be dealing with internal and external clients at all levels in person and on the telephone. - Written Communication: ***** High level of written skills for letter writing, proof reading and checking of transcriptions of audio work. - Problem Solving: ***** Demonstrable confidence and initiative in dealing with issues which may arise day-to-day, with experience of working in an environment on several tasks simultaneously. - Job Knowledge: ***** An understanding of the working environment and a desire to continue to develop business awareness and personal skills on the job. - Interpersonal: Excellent interpersonal skills and an awareness of dealing with high level and sensitive issues. Flexibility is a key requirement. - Technical: Word, Excel, Powerpoint to a high level is critical to this role. Audio Typing skills are also vital to this position. - Experience: ***** Previous experience within a similar or blue chip environment. - Qualifications: Education to a minimum of good GCSE standard is required. Grade C or above - Languages: A second European Language would be an advantage. |
