| This is a vital support role working for the Managing Director, a true one-to-one position providing a secretarial/administrative resource to the highest standard and working with the rest of the team to ensure the smooth running of the Office. The MD considers this position to be part of the management of the company and, as such, a true representative of the Company in his absence. The role requires fluency in French and English both written and spoken with every day use of both. There is regular contact in French in Paris through telephone calls and via email. There will also be a regular contact with the senior Managers and PA’s of Co. This is a demanding role in an ever-changing and challenging environment where the diary may change regularly in response to the business needs.
Principle tasks will include: v Secretarial administration: dealing with correspondence, diary management, making travel arrangements, production of reports and presentations, audio-typing in French etc. v Meetings: Attendance at weekly Board meetings and production of Agenda and resulting Report, update and maintenance of Corporate Diary v Liaison with other Board Directors and their PA’s of RFS, with the Facilities Buildings Manager and Group Human Resources v Supervise and assist other Team members as and when required and ad-hoc tasks as requested The successful applicant will have relevant experience at this level for at least 5 years and be a fluent French speaker. They will have excellent communication skills, both verbal and written and will be able to work effectively under pressure whilst keeping their good sense of humour in tact. The applicant will be diplomatic, discreet and honest. They should be PC literate with experience of using the Microsoft Suite and E-mail. Knowledge of other software packages such as Visio and Palm would be helpful but the ability to learn them quickly would be equally helpful. Applicant will not only need to be able to do audio-typing but also feel comfortable doing this in French. The successful applicant will also be a self-starter who is comfortable working as part of a team but is also capable of working alone when the need arises. They will need initiative and not be afraid to take action/make decisions in the MD’s absence. Above all, the successful candidate will need to possess a pro-active “Team Player” approach. |
