This position is to provide secretarial and administrative assistance to a Consulting division . Reporting to a supervisor, this role will involve secretarial tasks for a team of consultants and some administration tasks. Hours will be a shift pattern, 8.30 - 4.30; 9-5pm, 9.30-5.30pm; 10-6pm in a 7-hour day. There is opportunity to work on major events and projects within Consulting.
The Responsibilities
Diary management, arranging meetings, booking rooms and catering for internal and external meetings and events (35%)
Typing correspondence, reports, letters, faxes, etc (20%)
Provide telephone back up for the team (20%)
Produce, when required, presentations using Powerpoint and Excel spreadsheets (5%)
General administrative tasks including e-expense submissions, photocopying, shredding, sorting post, filing, liaison with document production centre (20%)
The Person
Qualifications and academic level
5 GCSEs or equivalent at grades A-C including English and Maths
Years and type of experience
Secretarial college leaver or 1-2 years' experience as a secretary working in a blue-chip company
Technical skills
Accurate audio and copy typing at 50+ wpm
Intermediate level in Microsoft Word, Powerpoint and Excel
Key personal skills
Good team player
Self motivated and hard working
Confident manner and good interpersonal skills
Excellent telephone manner
Able to work under own initiative
Happy to be managed
Able to work calmly and effectively under pressure and to tight deadlines
Able to work responsibly with confidential and sensitive information
Flexibility
Good eye for detail
