Role Profile/Personality Fit. The role specifically reports to one Direct Manager and overall to the Director of Corporate Finance. You will support at maximum a team of 7 when deals are running to close and conclusion. The role is envisaged that on most occassions you will work with the particular Manager/Director broking the deal who is a specialist in their designated field. You will need to be: Intelligent, switched on, able to think on your feet, mentally agile/ quick and a team Player. This is a tough arena and so you will need to be tough and robust. You will also be mature, have a sense of humour and be experienced to deal with high level tension/ stress. You will be used to working in a high transaction/Reactive working environment and must be able to demonstrate this. Additionally you will need to be Assertive, but fun, highly corporate and Friendly, resourceful and able to take initiative. You have to be able to Make things happen within Very tight deadlines! *It should be noted that with all Corporate Finance roles this arena has peaks and troughs. Extensive hours/overtime when deals are concluding goes with the territory but the team will compensate to you discretionary time-off. JOB SPECIFICATION Executive PA-Corporate Finance Overall Purpose To provide administrative and organisational support to Directors, Associate Directors, and other relevant team members, such that profitability of the team and business unit is enhanced. The role is heavily PA orientated in that 50% of your time will be handling extensive Diary Management. Context Subject to the issues and concerns that influence Director's job. Corporate Finance is currently a team looking to expand and the support functions will be resourced as required. Need to do ~Act as a focal point of contact, ensuring efficient liaison between manager and clients/ colleagues/ personal contacts. ~Build and monitor relationships with key clients equivalent contacts. ~Ensure manager's diary appointments and travel itineraries are efficiently organised. ~Schedule, book and arrange resources to support appointments and travel plans. ~Prepare and produce documents and materials in line with manager's core outputs/deliverables. ~Ensure an effective filing system is maintained. ~Ensure equipment, facilities and supply of consumables in immediate working environment are maintained to optimum levels at all times. ~Undertake voluntary or nominated duties in order to ensure the smooth flow of work through the team or business unit. ~Review and formatting of presentations. ~Act as quality control for document production. ~Undertake research and information gathering as required through external sources e.g. internet. ~Liaise with external groups/events to ensure effective networking and client management. ~Ensure Director's client data is maintained on marketing intranet site. ~Ensure Director's/teams timesheets are accurately completed and submitted. Key Performance Indicators ~Delivery to deadlines (client and director's) ~Client satisfaction ~Number of requests from others to do things ~Efficient running of the Business Unit Relationships ~IT department ~Post room ~Reception ~Relevant contacts in other business units ~Clients ~Travel organisations ~Specialist suppliers Need to know Qualifications Depending on level of the role, a diploma in relevant field of secretarial practice as minimum Skills & Knowledge ~Common MS Office applications to advanced level essential. ~Typing speed ³ 60- 70 wpm ~PowerPoint advanced level of competence essential.
