Secretary to Two Senior VPs - Global Heads of Marketing & Product Development & a team of 12

Business/Function: Global Marketing and Product Development

Role: Secretary, Global Marketing and Product Development

Purpose: To provide secretarial support on a permanent basis to the Global Head of Marketing and Product Development; the Head of Product Development and members of the Global Marketing and Product Development team of 12

Responsibilities: The responsibilities are to be split equally by providing administrative and secretarial support to three areas:
(1) Global Head of Product Development & Marketing
(2) Head of Product Development
Ø Diary management - arranging and accepting meetings, booking rooms, confirmation of attendance to relevant parties
Ø Take telephone and other messages, including checking voicemail, from internal and external sources - use discretion to decide on course of action dependant on urgency and importance
Ø Review and prioritise email messages whenever Global Head of Product Development & Marketing or Head of Product Development is absent for their action on their return
Ø All travel arrangements - flights, accommodation, currency, expense reclaim forms
Ø Preparation of travel agendas including provision of contact details for team members during his absence
Ø Processing and authorisation of invoices for department
Ø Control and tracking of legal documents sent to various offices for signature
Ø Maintain the strictest confidentiality at all times, exercising tact and discretion when liaising with all internal and external contacts


Role: Secretary, Global Marketing and Product Development
Responsibilities:
(3) Global Marketing & Product Development team
Ø Organisation of meetings (both external and internal) for multiple team members where appropriate : booking meeting room, confirmation of meeting, arranging for refreshments, ensuring PC / teleconference requirements are met, minute taking where necessary
Ø Organisation of regular team meetings - preparation of agenda including collation of update points from each team member prior to meeting, reservation of meeting room, ordering refreshments, ensuring telephone connections for non-local members to join meeting, production of minutes
Ø Proactive development of team processes to ensure workloads are managed efficiently and tactfully reminding direct reports for scheduled activity without prompting (eg: preparation of sick forms for completion when team member returns from sick leave)
Ø Maintenance of team calendar for holiday requests, sick leave, absence due to business travel, monthly reporting to HR
Ø Travel preparations: travel and accommodation arrangements; completion of expense claim forms; processing of currency requests; finalising agenda for trip; have contact details during member's absence for team as necessary
Ø Filing to include maintaining electronic and paper based filing systems and also archiving
Ø Collection and distribution of faxes and post
Ø Ordering of stationery items on request
Ø Updating of contacts databases (Lotus Notes, Intranet and CIM tool)
Ø General administrative duties (word processing and document preparation eg. copying and binding)
Ø Administrative support to team initiatives where appropriate, eg: assistance with preparation of Board packs and their distribution
Ø Understand and ensure compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which you are involved and to inform the team members as and when appropriate
Ø Be present during core hours ie: 09.00 - 17.00
