The Global Professional Indemnity Insurance Support (PII) Group deals with the administration of world-wide PII programme which features elements of local insurance, captive and mutual cover, direct and reinsurance placements in the global commercial insurance markets.
The job holder will be required to provide secretarial and administrative support to the Partner in charge of the Global PII Support Group and the two Senior Managers in the team. The job holder will be expected to work closely with the Partner and Senior Managers in a constructive and flexible way to ensure the smooth running of the Global PII Support Group function and to contribute to the effective and efficient operations within the team.

The Responsibilities
To build a comprehensive knowledge of the Solicitor\'s contacts and over a period of time develop a general understanding of the business issues involved and in particular to be sensitive to the needs of the Solicitor\'s clients.
To type, according to the Solicitor\'s and/or style guide, correspondence to include letters, memorandums, reports, e-mails, telephone notes, file notes, etc, both copy and audio.
Report typing / drafting including tables and charts according to the Solicitor\'s style guide.
Maintaining calendars / diaries.
Maintaining effective filing, information and data capture systems.
Taking appropriate messages from telephone calls, prioritising them and ensuring they are dealt with promptly
Arranging meetings, including organisation of venues, catering, etc, typing and distributing agendas and minutes and other appropriate documents when required.
Arranging and booking tickets / accommodation for UK and international travel including organisation or itineraries and currencies.
Assisting in the preparation of presentations including the production of PowerPoint presentations, slides, prompt cards, etc. Carrying out background research in support of such presentations as appropriate.
Electronic transfer, e-mail, faxing and photocopying as required.
Having attained a comprehensive understanding and awareness of the functionality and work streams of the Solicitor and the Global PII Support Group:
to carry out tasks, as directed by the Solicitor/Director of Insurance, that facilitate the effective procedural and technical administration of the Global PII programme including the provision of information, both written and verbal, to member firms, insurance advisors and providers (as appropriate);
to support the Solicitor/Director of Insurance on all PII related matters as requested.
Such other tasks as the Solicitor/Director of Insurance from time to time may reasonably require.

The Person
You will need the following qualifications, skills and experience:
A minimum of 4-5 years\' experience ) providing secretarial / administrative support at a senior level
5 GCSEs or equivalent at grades A-C including English and Maths
Accurate audio/copy typing at 70 wpm
Advanced level in Microsoft Word, Excel and PowerPoint
