Secretarial - PA Secretary

in London Docklands

For this position it is essential that you have advanced Word, Excel and PowerPoint and 3 years + experience at Senior PA Level.

Excellent technical skills are required for Partner and Director level appointments as is experience of having worked at senior level. The individuals must have a confident, approachable and flexible manner with proven people management skills and be able to both lead and work as part of a team with other secretaries.
Main responsibilities:
Handle incoming internal and external calls. Screening calls and redirecting to appropriate Partners or Consultants.
Diary management and maintenance of a whereabouts list, arranging internal and external meetings, book meeting rooms, catering and equipment. Compiling papers for meetings as necessary.
Arrange Partner wide meetings, conferences and general functions
Develop a comprehensive knowledge of the department’s business. Gaining knowledge of internal and external business contacts and general awareness of business issues.
To be a Line Manager to the secretarial team to include managing their workload, conducting their appraisals and all other issues related to the team.
Organise all domestic and international travel and accommodation
Sort and distribute internal and external mail. Redistribute mail internally where appropriate. Manage electronic mail when Partner is away from the office or as directed.
Organise social functions and away days
Work effectively and co-operatively within a team of secretaries who support in London. To include covering telephones, lunches, sickness and holidays and assisting where appropriate.
Typing of presentations and proposals
Maintaining Industry Leader’s filing
Skills and experience required:

Three to five years’ secretarial experience within a blue-chip firm
At least two years experience operating as a PA or senior secretary
Proficiency in Word, Excel and Powerpoint;
Proven team management experience
Mature with a ‘senior’ presence
Confident in managing senior people
Sharp, bright, can act as “Second in Command” for Industry Lead
Pro-active, can demonstrate initiative
Commercial acumen, genuine interest in the business and learning more about it, its operations and its clients
Good all round communication and team skills,
Committed and dedicated to role
Strives to add value at all times
Salary
