Top international law firm require an experienced secretary to work in the employment Law division

1. Typing: To provide accurate and prompt audio (90%) and copy typing (10%) service to the department ensuring deadlines are met and top quality documents are produced. This will include client correspondence, telephone notes and reports - using in-house templates. (Word 95).
Graphics: Produce PowerPoint slides for presentations (PowerPoint 95). 60-70%
2. Client Care:
Telephone: Answer both internal and external calls promptly and politely in accordance with clients policy. Make sure that accurate telephone messages are taken and distributed, and any queries are dealt with effectively.
Liaison: Meet and greet clients at reception, escort them to meeting in a positive and professional manner. 5-10%
3. Arranging Meetings: Arrange both internal and external meetings, booking rooms and catering where required. 5%
4. Travel and Accommodation: Arrange travel, accommodation and foreign currency through Hogg Robinson Travel Department. 5%
5. Diary Management: Maintain diaries for the client service staff and keep them informed of appointments and manage incoming emails (using Microsoft Outlook). Update "whereabouts" whiteboard on a weekly basis. 5-10%
6. Filing: Open new files and ensure all filing systems are kept up-to-date on a daily basis. Arrange for documents and files to be archived. 10-20%
7. Finance: Open engagement codes, send out conflict searches, complete necessary forms and update log book. Log and file invoices. 5%
8. Ad hoc administration: photocopying, distribution of meeting papers, send faxes, sort and distribute post throughout the department, arrange couriers. 10-15%

Department structure/culture: A new team of four with two, possibly three, analysts to be appointed shortly.
Department goals: Establishing a new consultancy-based practice which will involve product development and marketing.
